Terms and Conditions

Please read these Terms and Conditions ("Terms") carefully before registering for ICPF Camp 2026 ("the Camp"). By completing your registration and payment, you agree to be bound by these Terms.

1. Registration and Payment

1.1 Registration Process

Registration for the Camp is not confirmed until full payment has been received. All registrations are subject to availability, with a maximum capacity of 70 students.

1.2 Payment Terms

• The camp fee is $230 AUD per person, and may include a processing fee if paid by Card.

1.3 Age Requirements

All attendees must be 12 years of age or older at the time of the Camp.

2. Cancellation and Refund Policy

2.1 Cancellation by Attendee

• More than 30 days before camp: Full refund minus a $25 administration fee
• 15-30 days before camp: 50% refund
• Less than 15 days before camp: No refund
• Non-attendance: No refund will be issued for non-attendance or early departure

2.2 Cancellation by ICPF Perth

In the unlikely event that ICPF Perth must cancel the Camp, attendees will receive a full refund of all fees paid. ICPF Perth is not responsible for any additional costs incurred by attendees including but not limited to travel arrangements or accommodation bookings.

2.3 Transfer of Registration

Registrations may be transferred to another eligible person up to 14 days before the Camp. Contact camp@icpfperth.au to arrange transfers.

3. What's Included

The camp fee includes:

• Accommodation for 3 nights at Jarrahfall Bush Camp, Dwellingup
• All meals from dinner on April 6 to breakfast on April 9, 2026
• All organized activities and teaching sessions
• Event materials and resources

4. Attendee Responsibilities

4.1 Behavior and Conduct

All attendees are expected to:

• Respect all camp rules and guidelines
• Treat all attendees, staff, and property with respect
• Participate in scheduled activities unless excused for health or safety reasons
• Follow instructions from camp leaders and staff
• Refrain from any illegal activities

4.2 Dismissal for Misconduct

ICPF Perth reserves the right to dismiss any attendee from the Camp without refund for:

• Violent, disruptive, or dangerous behavior
• Possession or use of illegal substances or alcohol
• Deliberate damage to property
• Serious violation of camp rules

4.3 Medical Information

Attendees must disclose all relevant medical conditions, allergies, and dietary requirements during registration. ICPF Perth will make reasonable efforts to accommodate disclosed needs but cannot guarantee all accommodations.

5. Health and Safety

5.1 Medical Treatment

By registering, you authorize ICPF Perth staff to seek emergency medical treatment for the attendee if necessary. Parents/guardians will be contacted as soon as possible in case of medical emergencies.

5.2 Insurance

The camp site maintains public liability insurance but ICPF Perth does not. Attendees are responsible for their own personal accident and medical insurance if desired.

5.3 COVID-19 and Infectious Diseases

Attendees must not attend camp if they are feeling unwell or showing symptoms of infectious disease. ICPF Perth follows current health guidelines and reserves the right to require attendees to leave if they become unwell during the camp.

6. Photography and Media

Photos and videos may be taken during the Camp for promotional purposes. By registering, you consent to the use of such media by ICPF Perth in promotional materials, website, and social media unless you specifically opt out in writing to camp@icpfperth.au before the Camp begins.

7. Personal Property

ICPF Perth is not responsible for loss, theft, or damage to personal property. Attendees are encouraged to clearly label all belongings and avoid bringing valuable items.

8. Changes to Program

ICPF Perth reserves the right to make changes to the program, schedule, activities, or venue if necessary due to weather, safety concerns, or other circumstances beyond our control.

9. Privacy

Personal information collected during registration will be used solely for camp administration and communication. We will not share your information with third parties except as required by law. See our Privacy Policy for more details.

10. Liability Limitation

To the extent permitted by law, ICPF Perth's liability for any claim arising from or in connection with the Camp is limited to a refund of the camp fee paid.
